SoundPLAN Asia Co., Ltd. ("we", "us", "our") is the Regional Hub for SoundPLAN noise mapping and acoustic prediction software in Asia and the Middle East. We are based in Thailand and operate the website soundplan.asia.

2. What Data We Collect

We collect personal data only when you actively provide it or when you visit our website:

• Contact & enquiry forms — name, email address, company name, and the message you write to us.
• Newsletter sign-up — email address and (optionally) your name.
• Chat widget — name, email address, and the conversation transcript if you use the on-site chat.
• Demo requests — name, email, company, country, and any project details you choose to share.
• Website analytics — anonymised usage data (pages visited, session duration, referral source) collected via Google Analytics 4 and Google Ads.
• Cookies — see Section 5 below.

We do not knowingly collect data from children under 16. We do not sell personal data to third parties.

3. How We Use Your Data

• To respond to your enquiries and provide technical support.
• To send you the newsletter you signed up for (you can unsubscribe at any time via the link in any email).
• To arrange software demonstrations or training sessions you have requested.
• To improve our website and marketing based on aggregated, anonymised analytics.
• To send occasional product updates or event announcements to existing customers and qualified leads (legitimate interest).

We will never send you unsolicited bulk email, and we will always include a clear unsubscribe option.

4. Who We Share Data With

We share data only with trusted third parties necessary to operate our business:

• SoundPLAN GmbH (Germany) — our principal software manufacturer, for licensing and technical support fulfilment.
• Brevo (Sendinblue) — email marketing platform used to send newsletters and transactional emails.
• Google LLC — Google Analytics 4 (website analytics) and Google Ads (advertising). Data is processed under Google's standard contractual clauses.
• OpenAI — powers the website chat assistant. Messages sent to the chat may be processed by OpenAI under their data processing terms.

We do not share your personal data with any other third parties without your consent, except where required by law.

5. Cookies

We use two categories of cookies:

• Strictly necessary cookies — required for the website to function (e.g. remembering your cookie consent preference). These are always active.
• Analytics cookies — Google Analytics 4 and Google Ads tracking, used to understand how visitors use the site. These are only set after you click Accept on our cookie banner.

You can withdraw your analytics consent at any time by clearing your browser cookies or clicking Decline Analytics on the cookie banner when it reappears. You can also disable cookies entirely in your browser settings.

6. Data Retention

We retain personal data for as long as necessary to fulfil the purposes described above:

• Enquiry and chat records — up to 3 years, unless you request earlier deletion.
• Newsletter subscribers — until you unsubscribe.
• Analytics data — 14 months (Google Analytics default).

7. Your Rights

Depending on your country of residence, you may have rights under PDPA (Thailand), GDPR (EU/EEA), or equivalent laws. These typically include the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data.

• Withdraw consent at any time (where processing is based on consent).
• Receive a portable copy of your data.
